Overview
The World Federation of Orthodontists (WFO) is a global organization representing orthodontic professionals through a network of affiliated associations. Established during the 4th International Orthodontic Congress in San Francisco on May 15, 1995, the WFO has grown to include over 8,000 fellows and 109 affiliated organizations worldwide. The federation supports the advancement of orthodontics through education, collaboration, and professional standards across its international membership base.
The Challenge

Outdated Membership Management System: WFO’s legacy platform for tracking memberships was difficult to navigate—for both administrators and members. Common tasks such as updating contact information, renewing membership, or accessing benefits involved cumbersome processes, often requiring manual intervention by staff. This not only created friction for users but also consumed valuable time and resources behind the scenes.

Disconnected and Underwhelming Continuing Education Portal: The existing Continuing Education (CE) portal suffered from poor UX design, limited functionality, and a lack of integration with membership data. As a result, members found it challenging to access relevant learning content, track their progress, or receive credit for completed courses. From an administrative perspective, it was nearly impossible to draw actionable insights or maintain an efficient workflow.

Missed Opportunities for Engagement and Growth: Because these two systems—membership and continuing education—operated in silos, WFO struggled to deliver a cohesive digital experience to its community. There was no centralized view of member activity, no automated triggers for engagement, and no scalable way to offer personalized value. Ultimately, this limited WFO’s ability to deepen member relationships, promote lifelong learning, and showcase the value of being part of a global federation.
What Clients Needed
To help WFO modernize its digital infrastructure and deliver more value to its global community, we designed and developed a custom web-based platform that seamlessly integrates membership management with continuing education.


A Unified, User-Friendly Portal
We built a centralized web application—portal.wfo.org—that allows members to manage their profiles, renew memberships, and access exclusive content with ease. The interface is intuitive and mobile-responsive, designed specifically with busy professionals in mind.

A Fully Integrated CRM Engine
Behind the scenes, we implemented a custom CRM system tailored to WFO’s unique organizational structure. This CRM not only powers membership operations but also captures detailed data on member engagement across educational activities. With real-time visibility into user behavior, WFO staff can now track member journeys, automate workflows, and make data-informed decisions.

Revamped Continuing Education Experience
We reimagined the CE portal as an interactive learning hub—complete with course listings, progress tracking, certifications, and automated CE credit management. Members can now browse and enroll in courses, receive completion certificates instantly, and stay on top of their professional development—all within a single login.

Custom Permissions and Role-Based Access
Given the complexity of WFO’s global structure, we implemented fine-grained user roles and permissions. Whether the user is a student, practitioner, academic, or association administrator, they experience a tailored interface and access level that reflects their specific needs and responsibilities.

We prioritized accessibility and ease of use, ensuring that members—from students to senior practitioners—could navigate the portal effortlessly. Wireframes, prototypes, and iterative feedback loops ensured alignment with WFO’s vision every step of the way.


3. Application Development
Our engineering team built the platform using modern, scalable web technologies. From a robust CRM backend to the sleek front-end member portal, we developed clean, modular code designed for long-term maintainability. Key features included: profile management, role-based access, CE course tracking, and dynamic content delivery—all tightly integrated to work as a cohesive system.
4. Integration & Testing
We ensured seamless interoperability between the new CRM and CE components. Rigorous QA and user testing helped us validate workflows, fine-tune performance, and address edge cases. We also migrated legacy data carefully to preserve historical membership and education records without disruption.
